This guide walks you through the process of importing final grades from Brightspace to CUNYfirst. The goal is to streamline grade submissions and ensure accurate grade transfer. Please note that the import process is optional, and that all CUNYfirst grades should be reviewed before submitting to the Registrar and Posting.

In Brightspace

Before importing grades into CUNYfirst, ensure the following in Brightspace:

  1. Final Calculated Grade: Check all the grades in the Final Calculated Grade column in Brightspace for accuracy and make any necessary adjustments. This is the grade that will be imported by default into CUNYfirst.

1a. Final Adjusted Grade: If you are using the Final Adjusted Grade Column instead, please see the alternative workflows in the Appendix of the Grade Passback User Guide, or contact OFDIT to discuss options.

  1. Grade Scheme: Check the final grade column scheme by choosing Grades>Manage Grades and then selecting Edit for the Final Calculated Grade column. Verify that the correct scheme, either SPS Grad Letter or SPS Undergrad Letter, is selected.

  1. Release Grades: Check that the Final Calculated Grades are released, by noting if the grades display with an eye icon.

    If the eye icon has a line through it , then release the grades by choosing Enter Grades, then select all users and click the Release/Unrelease button. Released grades should now display with a checkbox in the Released column.

In CUNYfirst

Once you have confirmed all released final grades in Brightspace, navigate to CUNYfirst to begin the grade import process:

  1. Log in to CUNYfirst.
  2. Navigate to the Faculty Center from the homepage.

  1. On the Faculty Center page, select Grade Roster.

Note: If you are teaching multiple classes in a term, select the course that you are working on.

  1. In the Grade Roster, locate the Grade Import from Brightspace section.

  1. Click Import Grades to start the process.
  • If prompted, you may select Yes to overwrite any existing grades.
  • Click OK once the import is complete.
  1. If any issues arise from the import, the Grade Import Error Log will describe the error(s).


Common errors may include:

  • Missing grades: No final grade in Brightspace for a student.
  • Invalid grades: A grade that does not match the expected format.
  • Student not found: The student doesn’t exist in CUNYfirst or Brightspace (Contact Helpdesk).

Resolve these issues by reviewing the error log, making necessary updates in Brightspace, and re-importing the grades.

  1. Check all grades for accuracy.
    • If you want to make any adjustments, you may change the grade in CUNYfirst.
    • If you need to make adjustments in Brightspace, you can re-import the grades as many times as needed. Each import overrides previously entered grades.
  2. Once you are satisfied that all grades are accurate, update the Approval Status to Submit Grades to Registrar, and click Save.

  1. Click Post to submit the grades to the registrar and make them available on the student’s record.
